Build a Farm Task Inventory Before Requesting a Tractor

A task inventory explains why the farm needs equipment. It helps a supplier understand the work without relying on acreage or a preferred model alone. Use the farm’s existing operations as the starting point and keep future projects clearly labelled.
List jobs in practical groups
Separate field operations, transport, material handling and other recurring duties. Record where each job happens, how often it is needed and how the farm currently completes it. Note any equipment already available and any operational difficulty supported by experience.
Keep the chosen farming method with the responsible farm manager or adviser. The inventory records the operation selected for the site; it should not prescribe a universal practice for every crop or condition.
Add the equipment questions
- Exact implements the farm intends to retain.
- Tasks requiring a new attachment or technical recommendation.
- Access and transport constraints needing assessment.
- Operator, service and document requirements.
- Timing conflicts between jobs using the same equipment.
Identify which questions need measured information or a qualified site review. Leave missing details open instead of filling them with assumptions from another farm.
Use the inventory to compare proposals
Ask each supplier to explain which tasks its proposed package supports and what remains unresolved. Retain the same inventory when comparing offers so the basis of the discussion does not change between responses.
For example, a tractor proposal may address cultivation but leave a regular loading task outside the supply. Recording that gap makes the next question clear.
